How to Automatically Schedule Email Reports

You can automatically send any report to multiple recipients on a schedule you choose. This is a powerful way to keep your team, managers, or even your customers informed with daily or weekly updates, sent directly to their inbox.


Part 1: How to Add a New Email Recipient

  1. From the main navigation bar, click on the "Reports" menu and select the report you wish to configure.

  2. Once the report loads, click the "Edit Report" button (top-right corner) to enter edit mode.

  3. The "Settings" button will now appear. Click on "Settings".

  4. A pop-up menu will open. Select "Email Recipients".

  5. Click the "+ Add Recipient" button to open the scheduling window.

  6. Configure the schedule for this recipient:

    • Email: Enter the full email address.

    • Time: Select the time of day you want the report to be sent (e.G., 06:00).

    • Days: Use the toggle buttons (M, T, W, T, F, S, S) to select which days of the week they will receive the email.

  7. Click the "Add Recipient" button at the bottom of this window to save this schedule.

The recipient will now appear in the main "Email Recipients" table. You can repeat these steps to add multiple recipients, each with their own unique schedule.


Part 2: How to Manage Existing Recipients

Once a recipient is in the table, you can easily manage their schedule or remove them.

  • To Edit: Click the "Edit" button next to their name to open the scheduling window and adjust their time or day settings.

  • To Delete: Click the "Remove" button to permanently stop them from receiving this scheduled report.

  • Send Test Email: Click this button to send a test email to a email recipient so that you can see what the scheduled report will look like before they get sent at the set time and date.


Example

The below screenshot is an example email report that would be received. The report is a direct reflection of the data set up in the report.

Important Notes

  • Data Freshness: The emailed report is a snapshot of the data available at the exact time it is sent. We highly recommend adding a "Last Report Timestamp" component to your report dashboard. This ensures everyone who receives the email knows exactly when the data was last read from your unit.

  • Operational Value: This feature is perfect for automating daily operations, ensuring your team has the key data they need, ready in their inbox at the start of the day.
